Recommended Study Plan for All Students
This is the baseline plan every student should hear from you, every single session — at least 2–3 hours of studying a day, covering:
-
1
5–10 topics a day from Step 3 on their course dashboard.
-
2
50 flashcards a day from the flashcard program — Step 6 on their course dashboard.
-
3
The specific things they're struggling with, based on the summary you email them after each session (see "After the session," below — download the transcript, run it through ChatGPT for a "did well / needs work" list, and send it to the student).
Every session, reinforce all three — the general daily plan (topics + flashcards) plus whatever is specific to that student from their last session.

Cancellations
Need to cancel a session? Notify Jacob Sipos as soon as you can — ideally at least 24 hours ahead. For last-minute issues, text him right away so the student can be notified.
Running a session
Before the session ▸
- Join Zoom 10–15 minutes early to confirm audio, video, and connection.
- Confirm recording has actually started — check the recording indicator in the Zoom toolbar. Every session must be recorded.
- Camera on for the first few minutes of a student's very first session only, to introduce yourself. Camera off is fine after that, and for all future sessions.
Keep open the entire session
- Zoom
- The records spreadsheet — for live notes and past session history
- The student's Tracker (see study tracker links above)
Teaching framework — three causes of failure ▸
When a student is struggling, diagnose which of these it actually is — the fix is different for each.
1. Knowledge
- Doesn't understand the concept: re-teach it from the ground up before moving on.
- Understands but can't memorize or recall quickly: have them build flashcards (short question front, short answer back) — repetition fixes this, not re-teaching.
2. Question comprehension (critical-thinking questions only)
- Read every word of the question slowly, no skimming.
- Decide on an answer before looking at the options.
- Go through every option out loud, explaining why it's right or wrong using evidence from the question — not guessing.
3. Psychological strength
- Cover the answer options and ask "what do you remember from school about this?"
- Have them commit to their first instinct even when unsure — it's right more often than not, and trusting it is the whole point of the drill.
Assigning studying via the Tracker ▸
- Open the correct Tracker link above for the student's level and swap in their real email.
- Click the book icon, type the resource/topic, click it, then click the yellow Add to Studying button.
- Already yellow = already assigned, no action needed. Green = marked known — click again to move it back to studying if it isn't actually known.
- Before ending every call, tell the student what was added to their tracker and to complete the practice sections, plus recommend practice questions in the practice app on the topics just taught.
Session timing ▸
- 1-hour session: 50 minutes tutoring + 10 minutes for your notes. If there's nothing to note or prepare, continuing past 50 minutes is allowed but not required.
- 2-hour session: includes two 10-minute breaks. Either end 20 minutes early (stop at 1:40), or take breaks at the 50-minute and 1:10 marks. Same flexibility as above if nothing needs prepping.
After the session ▸
- Take session notes covering what was covered, how the student did, and next-time recommendations (including tracker topics assigned).
- Log those notes in the records spreadsheet within 24 hours.
- Recommended: take the session's transcript, put it into ChatGPT, and ask it to generate a short list of everything the student did well and everything the student needs to work on. Ask it specifically not to duplicate concepts across the two lists and to keep the whole thing short and to the point. Send that list to the student, and also add it to the records spreadsheet.
Standards & policies handbook
Quick-reference summary of the full handbook. The complete signed document governs — see the PDF shared with your onboarding materials for the full text and definitions.
Who you work for ▸
Some tutors are employed by Safety Unlimited (a staffing partner), not directly by How To LLC. If that applies to you, Safety Unlimited handles your pay, taxes, benefits, and workers' comp — direct any pay or employment dispute to them, not How To. While tutoring, though, you still follow all standards in this handbook. Tutors engaged directly by How To follow the same handbook plus their own written agreement.
Professional conduct ▸
- Treat every student with courtesy, patience, and respect; stay attentive and engaged the whole session.
- No profanity, offensive jokes, or language that demeans a student on any protected basis. Never insult, ridicule, or embarrass a student.
- Dress and background must be appropriate for a professional educational setting.
- Never tutor while driving, operating machinery, or under the influence of alcohol or any impairing substance — grounds for immediate removal.
- No unrelated tasks, browsing, or messaging during a session — full attention on the student.
Attendance, tech & company systems ▸
- Log in a few minutes early, fully prepared. Complete the full scheduled duration barring an emergency.
- Notify your Company contact immediately if you'll miss a session; keep cancellations to genuine emergencies.
- Maintain reliable internet, a working camera and mic, a quiet space, good lighting, and a professional background.
- Use only the Company-issued Zoom account and Company-approved scheduling tools. Never use FaceTime, Google Meet, Discord, WhatsApp, Skype, or a personal Zoom account for sessions.
- Never share Zoom credentials with anyone, including other tutors or students.
Recording policy ▸
- Every session is recorded unless the Company expressly says otherwise in writing.
- Never pause, disable, delete, edit, download, or share a recording without written authorization — recordings are Company property.
- Recordings exist for quality assurance, tutor and student protection, training, and dispute resolution.
Tutoring standards & academic integrity ▸
- Teach only accurate, current, National Registry-consistent information. Say "I don't know" rather than guess.
- Stay in scope — no medical, legal, or financial advice; refer students elsewhere when a question falls outside tutoring.
- Never complete work for a student, take an exam for them, or facilitate cheating in any form.
- Never guarantee a student will pass any exam.
Communicating with students ▸
- Text and email are fine for scheduling, logistics, and study follow-up — keep it professional and retain copies for the Company on request.
- Avoid politics; avoid religion unless directly relevant to the lesson.
- Never contact a student through personal social media, Snapchat, Instagram, Facebook Messenger, Discord, or WhatsApp, or add them as a personal contact.
Privacy & confidentiality ▸
- Run sessions somewhere private — no one else should see or overhear a session.
- Protect student names, contact info, scores, and records; only access what you need.
- Company Confidential Information (student data, internal procedures, pricing, materials, etc.) can't be shared outside authorized staff, during or after your engagement.
Professional boundaries & student safety ▸
- Never pursue a romantic/dating relationship, flirt, request personal photos, or have intimate/sexual conversation with a student — immediate removal, possible law enforcement referral.
- Never meet a student in person outside a Company-authorized, supervised context.
- Immediately report threats of violence, suicidal statements, suspected abuse or neglect, criminal activity, or anything suggesting a student is at risk. Stay calm and supportive, don't investigate it yourself — escalate it.
Harassment & incident reporting ▸
- No harassment or discrimination toward students on any protected basis, ever.
- If a student harasses or threatens you: stay professional, give one warning if appropriate, end the session if it continues, document it, and report it. Never retaliate against a student.
- Report threats, self-harm disclosures, suspected abuse, recording/security concerns, harassment, complaints, major technical issues, missed sessions, and suspected fraud promptly through the Company's reporting method.
Non-solicitation, non-circumvention & payments ▸
- Don't tutor a Company student privately outside the Company, refer them to a competitor, or encourage them to cancel their Company membership — applies during your engagement and for 12 months after.
- Don't exchange personal payment info with a student or try to work with them by bypassing the Company.
- Never accept payment, tips, or gifts directly from a student or their family — all pay goes through approved Company/employer channels.
Documentation, IP & social media ▸
- Submit a post-session note for every session, within 24 hours, in the Company system.
- Curricula, templates, and materials you create for Company students belong to the Company.
- Never post a student's name, image, or identifying info, or share screenshots/recordings/transcripts of a session, publicly.
Violations & removal ▸
Violations can lead to coaching, a written warning, suspension, permanent removal, notice to your employer, law enforcement referral, or legal action — the Company decides based on severity and doesn't have to warn first, especially for student-safety issues.
Immediate-removal offenses include: boundary violations, tutoring impaired or while driving, harassment/discrimination/abuse of a student, threats or violence, disclosing confidential student info, soliciting/circumventing the Company, and falsifying records.
Students can always request a different tutor, for any reason — that alone isn't evidence of a policy violation on your part, so don't argue or pressure a student who wants to switch.
